Job description - Graduate Legal Administrator
In this Graduate Legal Administrator role in London, we are looking for a highly organised and proactive Administrative Assistant to support the Legal Team. This is a varied and hands-on role, providing essential day-to-day administrative and operational support to lawyers, clients, and internal teams. You’ll be involved in everything from billing and data management to client onboarding, diary coordination and event logistics.
 
We’re looking for someone confident, accurate, and responsive — with strong Microsoft
Office skills (especially Excel), excellent attention to detail, and a personable, solutions focused
mindset. 
 
Key responsibilities - Graduate Legal Administrator
In this Team Assistant job in London, your responsibilities will include:
  • Maintain and update client and matter files, including onboarding, compliance, and
  • closing procedures
  • Manage invoicing workflows: support timesheet entry and checks, generate draft
  • bills, manage corrections, and issue final invoices
  • Use Excel to manage data sets and generate reports using formulas, Pivot Tables,
  • and Power Query
  • Assist in producing and updating basic PowerPoint presentations for internal or
  • client meetings
  • Order and manage stationery, IT equipment, and office supplies; handle incoming/outgoing mail and document archiving
  • Inbox and diary management for Partners, including meeting scheduling and travel booking
  • Organise and coordinate internal team events, external meetings, and legal training sessions (logistics, catering, invites, etc.)
 
Job requirements - Graduate Legal Administrator
In this Team Assistant job in London, we are looking for:
  • A 2.1 or above from University (Law degrees NOT required)
  • Experience of working in a law firm (beneficial but not necessary)
  • Ability to handle sensitive, confidential information with discretion and integrity
  • Excel skills: including accurate data entry, Pivot Tables, Power Query, and data formatting
  • Word and PowerPoint: confident with formatting documents and creating/editing basic presentations
  • Familiarity with/ability to upskill and learn practice management systems (e.g. Clio) for managing time entries, billing, and matter workflows
  • High level of organisation and attention to detail; ability to manage deadlines and priorities independently
  • Professional, confident communicator – written and verbal – with clients, lawyers, suppliers, and stakeholders
