Job description - Events Coordinator
In this Events Management job in the Education sector in London, you will join the team responsible for organising stakeholder & flagship events to a high professional standard to increase the organisation's profile, raise awareness and reach a broader audience. This role will be people-facing, and highly organisational, requiring exceptional attention to detail, communication, and project management skills.  
  
Key responsibilities - Events Manager
In this Events job opportunity, your responsibilities will include:  
  • Organising key stakeholder/flagship events, including, but not limited to; the Mental Wealth Festival, Fellows events, Awards, and Art History Festival.
  • Producing detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets).
  • Working closely with the Marketing Department to create marketing and media content for flagship events.
  • Creating Eventbrite pages to promote events.
  • Securing and booking a suitable space, venue or location (internal/external).
  • Arranging travel/accommodation as and when required.
  • Managing and responding to correspondence in a timely and effective way.
  • Liaising appropriately with visitors, suppliers and partners.
  • Arranging invoices, purchase orders, and new customer records on the focal point.
  • Agreeing to, and managing a budget.
  • Coordinating venue management, including AV, caterers, contractors and equipment hire.
  • Researching and producing publicity and marketing materials in line with branding guidelines.
  • Compiling and managing invitations, and guest/delegate lists.
  • Managing post-event reports.
  • Providing administrative support to stakeholders and Fellows as and when required.
Please note, this is a Monday-Friday role, 35 hours per week. You may be required to occasionally attend events on evenings & weekends as part of your role, with prior agreement. 
  
Job requirements - Events Coordinator
For this Events Coordinator role, we are looking for:
  • Must have prior commercial events management experience. You will be experienced and confident in managing multiple events end to end, including budgets and relationships with high-level stakeholders
  • 3 years + experience is ideal 
  • A degree in events management or business is desirable.
  • Self-motivated with a strong ability to multi-task. 
  • Fantastic written and verbal communication skills, and confidence in engaging with a variety of stakeholders, including high-profile speakers.
  • Highly organised and meticulous attention to detail.  
  • Good initiative to pick up new responsibilities as and when needed, without being instructed.
  • An ability to prioritise tasks to meet deadlines.
  • Excellent proficiency in Microsoft Office.
